Luxury Mobility Concierge (“LMC”) thoughtfully plans each experience around the guest, staffing, equipment, property coordination, and destination conditions.

Because meaningful preparation begins before the scheduled experience, the policies below are designed to provide guests with clear expectations while allowing LMC to maintain the quality, safety, and reliability of every reservation.

Reservation Deposits

Reservation deposits are non-refundable and are applied toward the total cost of the experience.

Your deposit helps secure and support:

  • Reserved staffing

  • Scheduling and operational preparation

  • Mobility equipment coordination

  • Guest-specific planning

  • Property or resort coordination

  • Equipment preparation, inspection, and staging

  • Administrative preparation associated with your experience

A reservation is confirmed only after Luxury Mobility Concierge has approved the reservation request and received the required deposit or full payment.

Remaining Balance

Unless otherwise stated in writing, the remaining balance is due 72 hours before the scheduled experience.

Reservations accepted within 72 hours of the scheduled experience may require full payment when the reservation is confirmed.

Failure to pay the remaining balance when due may result in cancellation of the reservation and forfeiture of the non-refundable deposit.

Guest-Initiated Cancellations

We understand that travel plans sometimes change.

Because the reservation deposit supports work and commitments made before the guest arrives, the deposit remains non-refundable when a guest cancels the reservation.

Refund eligibility for amounts paid above the reservation deposit depends on the timing of the cancellation and any costs already committed on the guest's behalf.

More Than 72 Hours Before the Experience

The reservation deposit remains non-refundable.

Amounts paid above the deposit may be eligible for refund, less any disclosed or non-recoverable third-party costs.

The guest may also request the complimentary rescheduling option described below.

24–72 Hours Before the Experience

The reservation deposit remains non-refundable.

Amounts paid above the deposit may be partially refundable depending on staffing commitments, equipment preparation, property coordination, third-party costs, and other expenses already incurred.

A reschedule may be available under the policy below.

Less Than 24 Hours Before the Experience

Payments are generally non-refundable.

A new reservation may be required if the guest wishes to schedule another experience.

Same-Day Cancellations and No-Shows

Same-day cancellations and no-shows are non-refundable and are not eligible for rescheduling.

Rescheduling Policy

More Than 72 Hours Before the Experience

One complimentary reschedule may be permitted, subject to availability.

The non-refundable reservation deposit will transfer to the approved new date.

24–72 Hours Before the Experience

One reschedule may be allowed, subject to availability.

A rescheduling fee and/or non-recoverable costs already incurred by LMC may apply.

Less Than 24 Hours Before the Experience

No complimentary reschedule is guaranteed.

Payments are generally non-refundable, and a new reservation may be required.

Same-Day Cancellations and No-Shows

Same-day cancellations and no-shows are not eligible for a reschedule or refund.

All rescheduled experiences remain subject to staffing, equipment, property, destination, weather, and operational availability.

Weather and Outdoor Conditions

Florida Gulf Coast conditions can change quickly.

LMC continuously considers conditions that may affect guest and staff safety, including:

  • Lightning and thunderstorms

  • Excessive heat

  • High winds

  • Hazardous surf or water conditions

  • Heavy rain

  • Flooding

  • Unsafe sand or terrain conditions

  • Severe-weather watches or warnings

  • Property or beach restrictions

  • Other environmental or public-safety concerns

Light rain, cloud cover, wind, or intermittent weather does not automatically result in cancellation.

LMC will evaluate the overall conditions, the specific experience, the guest's needs, and available alternatives before determining whether a change is necessary.

LMC Weather or Safety Decisions

Luxury Mobility Concierge retains final authority regarding whether conditions are appropriate for an experience.

When conditions make the original experience unsuitable, LMC may:

  • Adjust the start time

  • Modify the itinerary

  • Temporarily pause the experience

  • Move to an appropriate covered or indoor setting

  • Offer another suitable LMC experience

  • Reschedule the experience

  • Cancel the experience when no safe or appropriate alternative is available

These decisions may also be made because of equipment problems, staffing emergencies, property restrictions, public-safety concerns, or other circumstances that materially affect safe service delivery.

Alternative Experiences

When shoreline conditions are unsuitable, LMC may offer an available alternative such as:

The Resort Retreat
A thoughtfully coordinated indoor or covered resort experience designed to preserve the comfort, hospitality, and personalized attention of the original reservation.

The Coastal Reset
A quieter lounge, resort, or in-room experience centered around comfort, connection, relaxation, and personalized hospitality.

The availability and suitability of alternatives will depend on the guest's location, property, staffing, and circumstances.

Acceptance of an alternative is the guest's choice.

When LMC Cancels the Experience

If Luxury Mobility Concierge cancels an experience because of weather, safety, staffing, equipment, property restrictions, or another operational issue and:

  • no suitable alternative is available or accepted; and

  • the experience cannot reasonably be rescheduled,

the guest will receive a full refund of payments made to LMC, including the reservation deposit, except for any separately disclosed non-refundable third-party costs where applicable.

This is different from a guest-initiated cancellation, for which the reservation deposit remains non-refundable.

Severe Conditions Affecting All Services

Although LMC may sometimes move a shoreline experience indoors or provide an alternative experience, severe conditions can affect all LMC services, including indoor or resort-based experiences.

Examples may include hurricanes, evacuation orders, widespread flooding, dangerous travel conditions, property closures, utility failures, or governmental restrictions.

In these situations, LMC will communicate available options as soon as reasonably possible.

Late Arrivals

Guests should be ready at the agreed meeting time.

Late arrival may shorten the experience because staffing, equipment, property access, and subsequent reservations may be scheduled around the original timeframe.

LMC is not obligated to extend the experience because of guest lateness.

If a guest arrives so late that the experience can no longer reasonably be delivered, the reservation may be treated as a same-day cancellation or no-show.

Medical Emergencies and Exceptional Circumstances

We recognize that genuine emergencies sometimes occur.

Medical emergencies, significant travel disruptions, bereavement, and other exceptional circumstances may be reviewed individually.

Any accommodation, credit, or exception offered by LMC in these circumstances is discretionary and does not create an obligation to make the same exception in another situation.

The reservation deposit remains non-refundable in guest-initiated cancellations unless LMC expressly determines otherwise.

Third-Party Costs

Some experiences may involve independently operated hotels, resorts, attractions, transportation companies, food-service providers, equipment providers, or other vendors.

When LMC incurs a third-party cost that is non-refundable, the guest will be informed when reasonably practicable.

Such costs may be excluded from an otherwise available refund when permitted and appropriately disclosed.

Communication During Weather Events

When weather may affect a scheduled experience, guests should monitor the contact information provided with their reservation.

LMC may communicate through email, telephone, or text regarding:

  • Weather monitoring

  • Timing changes

  • Alternative arrangements

  • Property coordination

  • Rescheduling

  • Cancellation

Guests should not assume that an experience has been canceled unless LMC communicates that decision.
